Job Description

Position Summary: The DOT Compliance Coordinator will provide administrative support to the Environmental, Health & Safety (EHS) Department. Responsibilities would include reviewing, approving or denying applications for Department of Transportation (DOT) regulated, driving positions, based on HCC's new hire or re-hire qualification policy; oversees all Driver Qualification File (DQF) records and file management, adhering to Federal Motor Carrier Safety Administration (FMCSA) record retention requirements. Would also be responsible for reviewing and approving or denying applications for non-DOT, safety-sensitive positions. This person will be responsible for Motor Vehicle Record (MVR) monitoring, including employee eligibility for safety-sensitive duties, involving the operation of a Commercial Motor Vehicle (CMV). Manages on-going compliance and documentation with the initial Safety Performance History Records Requests, D&A Clearinghouse, Annual MVR Review, and Medical (Card) Re-Certification.

Essential Duties:

  • Provide customer support to our field-based sales and operational team members
  • Gain knowledge of company policies and procedures to assist in supporting all HCC departments
  • Responsible for collecting compliance data, organizing and converting for use in reports
  • Communicate with management to keep them informed of outstanding issues
  • Ability to track, edit and sort incoming data and disburse to appropriate personnel for action
  • Implementation and audit of alerts, reports and supporting documents to ensure drivers are compliant with internal policies and FMCSA regulations
  • Communicate with stakeholders, management and drivers
  • Additional point of contact for outside vendors providing support to the compliance activities of the EHS department, including Tenstreet, JJ Keller, SambaSafety/Qorta and HireRight
  • Assist EHS and other HCC staff as needed

Work Experience:

  • 2 years professional work experience required
  • 2 years of DOT safety and compliance experience preferred
  • Previous telematic/electronic log compliance experience preferred
  • Trucking industry experience and knowledge helpful

Education, Certificates, Licenses, or Designations:

  • High School diploma or equivalent required

Specific Skills:

  • Intermediate knowledge of Microsoft Office applications

Work Environment:

  • While performing essential duties of this position an individual regularly works indoors and may be required to sit for long periods. Individual will be required to regularly talk, hear, see and often reach with hands, stand, walk, use a computer keyboard, mouse, telephone, and other office equipment. Noise level of the environment is generally quiet. This position may require occasional travel by car or air to other HCC locations or vendors.
