It's an exciting time of growth for IFF, we're inviting a dedicated and results driven individual to join us as the Administrative Assistant located in our Gibson City, IL location.The Administrative Assistant performs an important function in the image of the company. This position is often the first person in which any client or visitor interacts. As the face of the company, the Administrative Assistant must be poised, polished and professional.

You will spend your time...

  • Submitting SAP requisitions and execute purchase orders for materials and building services for the Maintenance Department
  • Maintaining records of the building's various vendors - including contact information, scheduling and invoicing information
  • Maintainingcontact with vendors to sustain timely invoicing procedures - i.e. invoice submissions and payments
  • Placing material orders as necessary for the Maintenance team
  • Placingoffice supply orders as needed for employees
  • Performing various routine administrative tasks in support of the Office Services team, including:
  • Creating/replacingand distributingIDs to building employees
  • Supporting in planning and coordination of certain company events and activities
  • Maintaining reception desk and switchboard while projecting a positive, professional image and demeanor whether on the phone or in-person with clients, business associates and potential new hires visiting the company.
  • Disseminating information to appropriate parties in a timely manner.
  • Liaising with caterer and room requestor to ensure proper set-up is completed and IFF is represented in a professional manner.
  • Handling sensitive information with discretion and be able to cope with stress in effective manner.
  • Variety of Administrative tasks including but not limited to: processing invoices, managing department purchasing card reconciliation, order office supplies and provide back-up support to the Offices Services Team.
Job Requirements

Required Skills/Experience:

  • Proficient with Microsoft Office.
  • Outstanding customer service skills.
  • Strong organizational and interpersonal skills.
  • Ability to manage multiple priorities with interruptions.
  • Previous work experience in an office setting is a plus.
  • High-School Diploma or Equivalent

Preferred:

  • College Degree
