Job Description Summary

Successfully execute and deliver programs and projects to enable key strategic initiatives. This role develops and aligns pursuit content for global transitions. The Integrated Facilities Management Transition Program Coordinator ensures proper coordination and documentation of activity around effective IFM client transitions. Monitors and drives project communication and activity progress. Supports process development, program improvement and quality initiatives for global transitions.

Job Description

  • Coordinate and successfully execute multiple projects within Cushman & Wakefield's Global Occupier Services enterprise. Implement key strategic initiatives to achieve the desired outcomes of the Transition Platform.
  • Facilitate the collection of best practices, capabilities and resources to ensure effective transitions.
  • Supports business development by responding to RFP's and development of presentation materials, in partnership with reporting manager, Global IFM Transitions Lead, with respect to transition services.
  • Coordinate Transition programs to ensure maximum efficiency and delivery of services per contractual obligations:
    • Assist IFM Transitions Lead with communication on project progress via meeting minutes, reports and presentation materials. Follow-up and track action items
    • Responsible for administration to track and manage transition budget established in ProForma.
    • Monitor, track and report overall transition progress; schedule creation and tracking, liaison with countries, data consolidation, risk register. Support Program Lead in identifying potential risks and provide solutions to mitigate.
    • Support contract review and consolidate abstract
    • Support RFI and Due Diligence collection efforts
    • Ensure new team day 1 readiness incusing ordering uniforms, equipment, vehicles and coordination of all IFM related training is established
    • Develop project closeout materials and provide administration support to ensure proper hand-off to account teams at completion.
    • Maintain and file complete and accurate project documentation, service and compilation reports.
  • Consult/advise the business:
    • Support organizational change management activities to ensure achievement of customer objectives
  • Oversee and coordinate post transition activities.
  • Performs other related duties as required or requested.

Qualifications:

  • General administrative project coordination including responsible for tracking deliverables, tracking risks and actions
  • Proficient with Excel and PowerPoint, Smartsheet's, Visio

  • Experience leading meetings and managing meeting minutes
  • Manage processes and engagement with outside process owners using RACI matrix as needed
  • Self-managed to meet timelines and deliverables
  • Create, edit and update documentation to meet varying client requirements
  • Development and documenting processes and process mapping
