Summary of Position:
The Billing Agent is responsible for activities related to activation and billing of post installation events including warranty, equipment maintenance agreements and other obligations in the BAAN ERP system and companion Service System in accordance with the terms of agreements for assigned customer base.
 
Essential Functions:
  1. Maintains service activation data for all post installation warranty, service contract and leased devices in the ERP and Service Systems.
  2. Assists Billing Specialists in maintaining Contract Billing setup (License Fee/Subscription) and other BAAN billing or related maintenance as needed.
  3. Enters associate field activity, Canadian and US 3rd party vendor service invoice costs and information into BAAN service orders as appropriate to finalize customer billing and close orders.
  4. Annotates associate field reports, Canadian and US 3rd party vendor invoices with service order reference information as appropriate to facilitate AP approval and processing.
  5. Generates invoices for service contract, time & material, and customer shipments as required for service, logistics, or other activities as assigned.
  6. Interfaces with customers, other business units and vendors, regarding entitlement and billing issues as directed by manager.
  7. Performs independent reviews, assessments, follow ups and resolutions of issues on aged open service orders to the point where orders can be finalized in BAAN.
  8. Generates credit requests for necessary adjustments against service events, sales orders or other activities.
  9. Maintains vendor master forms pertaining to invoicing records of 3rd party vendors.
  10. Makes suggestions and recommendations to manager in an effort to continually improve work efficiency and customer satisfaction.
  11. Complies with all appropriate policies, procedures, safety rules and regulations.
  12. Performs related duties as assigned.

Education and Experience:
  • Requires a minimum of four (4) years directly related and progressively responsible experience.

The noise level in the work environment is generally quiet.
  1. Sedentary physical activity requiring reaching, sifting, lifting, finger dexterity, grasping, feeling, repetitive motions, talking and hearing.
  2. Visual requirement is for close vision, distance vision, peripheral vision and ability to adjust focus.
  3. 50% or more time is spent looking directly at a computer.
  4. Associate is frequently required to stand, walk (or otherwise be mobile).
