Job Description
Job Title: Administrative Assistant
Location: Chicago, IL 60603
Duration: 12 months Assignment
Shift/Hours: 40hours/week, 8am to 5pm, M to F

Summary:
Under direct supervision responsible for providing administrative support to managers or other partners in the department.

Major Duties:
  • Provides administrative support to senior managers or other partners in the department
  • Composes and creates documents, spreadsheets and/or presentations
  • Maintains and organizes paper and electronic files. Ensures confidentiality
  • Handles all aspects of onboarding/offboarding contractors within the department
  • Responsible for ensuring all desks in work area are operational; submits tickets to helpdesk for any issues and tracks to completion
  • Regularly and directly assists the manager in performing analytics reporting and prepares various reports on recruiting, turnover, time tracking, distribution list maintenance.
  • Execute under general supervision special assignments and tasks as assigned.
  • Exercise discretion and independent judgment on matters relating to general administration.
  • Schedules meetings and conferences; assists department head with calendar management
  • Help organize department events, i.e. working lunches
  • Works on special projects, such as gathering, inputting and compiling information for reports as required by manager or other partners in the department
  • Track and monitor expenses for the department
  • May greet or assist clients and/or vendors
  • Responsible for identifying and resolving problems within established guidelines
  • Expected to use some initiative but refer more complex problems to supervisors/experts
  • Works effectively as a team member but also independently
  • To perform other general office administrative functions as required
Knowledge/Skills:
  • Good oral and written communication skills are required
  • Strong organizational skills; accuracy/attention to detail
  • Analytical and problem solving skills are required
  • Technical skills / systems knowledge: Microsoft Office is required (high use of Excel, require advanced knowledge of formulas and pivot tables)
Experience Required:
  • Previous administrative supportive experience or completion of professional administrative support training is required.
