General Overview:

The Executive Assistant role supporting the CEO at SGS & Co Chicago is one of organization, attention to detail and proactive management of administration and logistics that keep the "C-Suite" office and infrastructure running smoothly. This role works independently while interacting daily with other Executives, Senior leaders, our Board of Directors/Onex and various internal departments as well as with external clients/suppliers. The role entails providing administrative support, extensive calendar management, managing all travel local and international, handling information requests as they arise and independent problem solving.

Goals:

The Goal of this role is to be able to proactively manage the "C-Suite" office for the CEO, anticipate requirements, effectively manage all requests and using your expertise, balance the priorities and requests that come into this office.

Responsibilities:

  • Booking extensive travel - local NA & International
  • Calendar Management - process internal & external requests & prioritize
    • Have visibility/access to Executive team calendars also to manage team meetings
  • Interaction with other members of the Executive team - handle requests & keep team informed
  • Assist with client meeting set up for CEO / working with other Sr Leaders to coordinate requirements
  • Complete expense reports & reconciliations required, within company policy & guidelines
  • Editing and development of Microsoft Office documents (excel, power point etc.) as needed
  • Administrative duties including taking on special projects as requested
  • Other duties such as personal duties / outside Board coordination, etc. for CEO

Success in This Role:

Success in this role will be creating a trusted relationship with the CEO and maximize his/her calendar, communications with clients and preparation for meetings. Doing this with enthusiasm, positive attitude and developing a trusted relationship with the Executive team and BOD. You consistently demonstrating the ability to execute with excellence, proactive thinking, detail oriented and readily adapt to changing environments.

Education/Experience Requirements:

  • The ideal candidate will have 5+ years of experience in an E.A. role managing "C" level executives
  • Completion of a post-secondary Business or Administration program an asset
  • Must be technologically proficient
  • Complex knowledge & experience booking travel, particularly international
  • Demonstrate experience in project management
  • Proven Ability to Multitask
  • Proficient MS Office Suite skills

Qualifications

Education
Some college (preferred)
Associates (preferred)

Experience
Proficient MS Office Suite skills (required)
