Description:

The Grants Specialist will provide proposal/grants development and post-award support to faculty in the College of Social Work and identify and inform College faculty of funding opportunities which correspond to their interests and background. The Grants Specialist is responsible for maintaining knowledge of grant submission and approval procedures, liaising with external funding agencies, assisting with planning and preparation of grant proposals, and post-award administration of grant-related projects.

Duties & Responsibilities:

  • Research and review sponsor requirements at the proposal state and ensure compliance prior to application submission.
  • Prepare proposal timeline. Prepare proposal budget and budget justification.
  • Secure cost-share approval, faculty teaching reallocation approval and documentation from external subcontractors.
  • Serve as a subject matter expert on grant management for the College and act as a liaison to the Office of Sponsored Programs and Grants and Contracts, external sponsors and internal/external auditors.
  • Manage, review, edit and administer all financial activities of grants, contracts, consulting agreements, subcontracts and vendor agreements for sponsored projects.
  • Develop a shadow system to reconcile sponsored project expenses against Banner, track cost share expenses, and forecast budget balances.
  • Request accounts and prepare budgets; manage requests for no-cost extensions, progress reports, budget changes, prior approvals, and grant close-outs.
  • Process labor redistributions and personnel transactions for reassignment or termination.
  • Track all personnel CFOP changes to ensure personnel are accurately reflected in Effort Reporting process.
  • Prepare ad hoc reports for the Dean and Associate Dean for Administration as requested.
  • Perform other related duties and participate in special projects as assigned.


  • Minimum Qualifications Required:

    1. Bachelor's degree in business administration, accounting, finance, economics or a field related to the position
    2. Three years' experience with pre-and post-award grant management and submission.
    3. Minimum two years' experience in an office environment.
    Preferred Qualifications:
    • Certified Research Administrator (CRA).
    • Previous UIC and/or University experience in a similar role preferred. UIC research administration experience and UIC systems experience is strongly preferred
    • University Research Administration background is strongly preferred.
    • Master's degree is preferred.
    • Knowledge of principles and processes involved in contractual and grant monitoring procedures strongly preferred.
    • Strong interpersonal, management, and communication skills preferred.
    • Excellent independent judgment and decision-making skills preferred.
    • Ability to work collaboratively in a team environment preferred.
