  • JOB DESCRIPTION

    POSITION TITLE: Assistant Principal for Building Operations

    REPORTS TO: Principal

    SUPERVISES:

    Clerical Substitutes

    Substitute Teachers

    Certified Staff delegated by Principal

    Pupil Transportation

    POSITION OBJECTIVE: To supervise and coordinate the logistical activity in the building in support of educational programs, school health, school safety, transportation, and other assigned activities.

    MINIMUM QUALIFICATIONS

    1. Illinois Public Educator License, General Administrative Endorsement, and Teacher Evaluator designation required

    2. Five years combined teaching/administrative experience.

    REQUIRED SKILLS

    1. Ability to read, interpret, and explain materials from building and district policy manual, legal documents and the Illinois School Code.

    2. Ability to make effective presentations and develop practical operating models.

    3. Ability to interpret, analyze, and use information in various problem solving activities, including but not limited to room allocation, scheduling, and budgeting.

    4. Ability to work collaboratively with other decision makers and community members.

    5. Ability to communicate well in both written and oral form.

    6. Ability to utilize various software applications, including but not limited to: MS Office programs, Gmail, Google Docs, and Google Calendar.

    PERFORMANCE RESPONSIBILITIES/SPECIFIC JOB RELATED TASKS:

    Supports work of principal

    Duties

    • Serves as principal in the absence of the regular principal

    • Advises the principal on building level budgetary needs

    • Observes and evaluates teachers in their classrooms upon request of the principal, and offers insights for the enhancement of the teaching-learning situation

    • Assists the principal in the overall administration of the school

    • Supervises and helps coordinate safety inspections and safety drills with the assistance of the Director of Security

    • Collects data and provides reports as directed by principal

    • Assumes responsibilities assigned by principal

    • Establishes and maintains the school's master calendar

    • Signs official correspondence

    • Assists in preparing and implementing the school budget

    • Maintains free and reduced-price food service program

    • Assigns teachers to supervisory and chaperone duties

    • Prepares written reports as requested

    • Prepares, writes, and edits student handbook

    • Coordinates collation and distribution of summer mailing

    • Works to resolve conflicts in a professional manner

    • Coordinates the test prep program

    • Anticipates potential problems and issues and is proactive in addressing them

    • Assesses school's physical and logistical needs and makes recommendations for meeting them

    • Plans and organizes Common Final Assessments

    • Plans and organizes all graduation requirements

    • Plans and organizes all school wide testing (i.e, ACT, PARCC, IACT, Explore, PLAN, and College Board testing)

    • Serves as a liaison for outsourced providers (i.e. transportation, food service, and vending machines)

    Coordinates Pupil Transportation System

    Duties:

    • Facilitates concerns of parents, students and staff related to pupil transportation

    • Organizes and implements pupil transportation system within guidelines of Board policy

    • Develops and maintains lists of children eligible for transportation

    • Approves field trips for transportation

    • Makes recommendations that may improve transportation services and efficiency

    • Supports planning of school trips

    • Coordinates and evaluates bus supervisors

    • Supports planning of school field trips

    Supervises Information Resource Center

    Duties:

    • Assists in establishing department curriculum objectives and develops a plan for the implementation and evaluation of these objectives

    • Conducts department meetings and attends relevant meetings as necessary

    • Supervises and evaluates IRC staff

    • Keeps informed on educational innovations and trends as they relate to department concerns

    • Assists in the planning of workshops and other in-service programs

    • Assists in the recruitment, screening, hiring and assigning of IRC staff

    • Prepares five-year report to Board

    • Prepares, administers, and distributes departmental budget

    • Evaluates teacher performance and makes recommendations for improvement

    • Approves all leave requests for IRC staff

    • Supervises and coordinates the ordering and use of departmental instructional aids

    • Encourages the development, publication and use of new instructional materials by IRC staff

    • Establishes an effective climate for learning

    Supervises Main Office Personnel

    Duties:

    • Assists in recruiting, screening, hiring, training and assigning of department personnel according to District procedures

    • Assigns and evaluates personnel

    • Approves all leave requests for main office staff

    • Maintains vacation schedule of personnel

    • Organizes and administers the part-time and substitute staff program

    • Prepares work schedules and assigns duties

    • Coordinates and supervises school mailings

    • Coordinates extra clerical needs in the building

    • Coordinates assemblies

    • Assists staff members in the preparation of printed materials

    Coordinates facilities and building management

    Duties:

    • Attends relevant meetings

    • Assists in development of specifications for remodeling projects or new construction

    • Engages in long-range planning

    • Implements Board policies

    • Serves as member of management teams

    • Supports school lunch facilities and operations

    • Receives suggestions from student groups regarding food preferences

    • Cooperates with local health authorities on pertinent matters

    • Orders main office supplies and equipment

    • Implements policy and procedure changes from Board, State, or Federal levels at building level

    • Prepares and distributes activity and events calendars and schedules to staff

    • Administers the bell and public announcement system

    Supervises and supports textbook center operations

    Duties:

    • Assists in recruiting, screening, hiring, training and assigning of department personnel according to District procedures

    • Supervises efficient budgeting, ordering, and distribution of textbooks and supplies sold through the textbook center

    • Evaluates department personnel

    Articulates school/district goals, policies and procedures to the school community

    Duties:

    • Confers with staff, students and community leaders on school problems and needs

    • Communicates with community leaders and sender school administrators concerning school Board goals, policies, and procedures

    • Responds to requests for information

    • Maintains relations with parents, parent groups, school volunteers and outside agencies

    Manages the financial operations of the school

    Duties:

    • Requisitions supplies, and equipment; conducts inventories; maintains records and checks on receipts for such materials

    • Facilitates departmental and building budget planning by appropriate parties

    • Collates and organizes building level budget for submission to district

    • Monitors purchase requisitions

    • Maintains inventory of office supplies

    • Coordinates rental of facilities by outside agencies, including logistics and billing in accordance with school Board policy

    Manages daily operations of the school

    Duties:

    • Supervises part-time student help

    • Prepares necessary inventories, budget requests and similar documents

    • Coordinates and maintains such record keeping as is necessary

    • Develops policy recommendations for the Board's consideration and action

    • Files required reports with state and federal education agencies

    • Maintains administrative records

    • Makes referrals to other professional staff members in the district

    • Issues identification cards, work permits and age certificates

    • Issues timely announcements of upcoming events and deadlines

    • Maintains records required by policy, regulation, law or good practice

    • Prepares and disseminates announcements, general notices and personnel correspondence

    • Receives students and/or parents or other interested members of the public, individually or in groups, formally or informally, and listens to their complaints, grievances and problems

    Supervision and coordination of discipline, safety, and security

    Duties:

    • Supervises and evaluates Deans

    • Approves leave requests by Deans

    • Coordinates and supports discipline and communications with Director of Deans as needed

    • Conducts re-entry meetings for students suspended from school

    • Coordinates and supports Deans' recommendations to Board regarding the Disciplinary Policy

    • Coordinates with Deans and Law Enforcement Agencies on relevant matters

    • Coordinates with Deans and Security Director of Operations for regular school days and special events

    • Coordinates with Deans and Security Director for regular school days and special events

    Oversees Summer School Operations

    Duties:

    • Facilitates concerns of parents, students and staff related to pupil transportation.

    • Organizes and implements pupil transportation system within guidelines of Board policy.

    • Develops and maintains lists of students eligible for transportation.

    • Approves field trips for transportation.

    • Makes recommendations that may improve transportation services and efficiency. Supports planning of school trips during summer school.

    • Budgets for summer school transportation and security needs.

    • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of summer school.

    • Coordinates supervises Deans and Law Enforcement Agencies on relevant matters.

    • Coordinates with the Building Based Summer School Principal regarding room usage and availability.

    TERMS OF EMPLOYMENT: 260 days, with comprehensive benefits package.

    PERFORMANCE EVALUATION: Performance of this job will be evaluated in accordance with provisions of the District procedures on administrative evaluation.
